Terms of Service

Newly updated sections are marked with a *

By placing an order with Oakley’s Creations, you agree to abide by these terms and conditions. Please carefully read all terms below before finalizing your order!

Please be aware that fursuits are built using naturally warm and stuffy materials, meaning they are, by design, hot and uncomfortable to wear. Your eyesight is also limited, the construction of the head oftentimes blocking your vision directly ahead and your peripherals. While we do our best to craft each suit so that the above issues are limited, there is still risk of blind spots, tripping hazards, and heat-related health complications if you do not take care of yourself properly. Please be sure to hydrate, eat, and rest plenty before and during every wear! Tolerance can be built, just be safe!

QUOTES

Official quotes are strictly a declaration of the minimum price you can offer for your commission. There is no binding agreement attached to filling out the form and receiving one, nor does it confirm your acceptance into the queue.

Official quotes are only available when a queue of empty time slots are open to the public or when an official quotes form is released. To receive your official quote, you must apply via our Quote Application form, available on our Home page when queue slots are open to applicants, and cover any quoting fee requested.

  • You may contact via social media private message, email, or Contact page should you like an unofficial estimate. We also highly recommend checking out our Price Calculator; it is updated with every price increase.

    • Please note that the quoting method above are not final or accurate by any means and the price you receive may change upon going through the official quoting process. They are intended to serve as a rough saving goal that should have you ready to cover at least 80%.

The quote you receive from your response to our quote sheet is FINAL and will not change until it expires. Prices given will not be lowered based on budget, exception, friend discount, etc.

  • The addition or removal of services will result in a new quote and a cancellation of any previous quote. Any posted sales will be applied to your quote before you receive it.

Any quotes received will expire by the end of the year you receive it or after any official price update, thus meaning you must apply for a new one the following year.

Age

You must be 18 years or older to order a fursuit of any kind.

  • ID or other government-issued identification will be required upon acceptance into the queue to confirm age. Failure to provide will result in cancellation.

  • ID will not be used for any purpose other than verifying your age. Please blur out all information besides your name, Date Of Birth, and face (if applicable).

Deadlines

Deadlines are considered, but are not guaranteed. You may notify us of a preferred deadline— whether for a convention or other event— however we cannot assure their completion at any time you request under our normal hours and work flow.

  • Completion time is subject to delays, queue placement and length, and the nature of handmade goods. Clients will always be notified of any timing issues via direct communication or our Telegram channel.

Priority will be placed on commissions with deadlines if they can pay in full upfront.

Rush Fee

If you want to better confirm a deadline that is within 6 months of your final payment, or if you cannot pay in full before 6 months before a preferred deadline, you may offer to cover a rush fee.

  • My standard rush fee is a flat 10% rate added on top of your quote that will cover overtime work, effort, and scheduling necessities to allow completion before your deadline.

    • Example: $2,450 (head) + 10% rush fee = $2,695

  • Projects with rush fees will be bumped to the front of the queue if it is required and will be marked as such to alert other clients.

  • The rush fee will be an option if you want to guarantee a deadline that is under 6 months from your last payment, but is over 1 month out from your last payment. Any deadline under a month out will not be possible, rush fee or otherwise.

  • To ensure loyalty to this rush fee, please pay it upfront along with your order. If the discussed deadline is missed for any reason, you will be refunded this rush fee.

Failure or refusal to pay a rush fee when necessary will render any deadline discussed as hesitant.

Payment

Payment Processing

Oakley’s Creations currently accepts payment through Square (no account required) and Zelle. We will consider other forms.

  • While we will accept PayPal under extreme circumstances or if you are an international client, it is highly encouraged to use Square.

Payment Plans

Full upfront payment is preferred.

Payment Plans are acceptable. Keep in mind, however, that while materials will be purchased and prepared, no product will be started until the full payment is covered.

A 20% of the full cost covers a retainer fee and is the minimum needed to be paid for upfront.

  • The remaining amount may be covered at your leisure— pay as you need to— however an ETA of remaining funds will be asked for.

    • Incomplete payments after this ETA without prior warning may result in commission cancellation and a loss of your 20% retainer fee. All remaining covered fees will be refunded.

  • This 20% fee must be covered within 1 week of acceptance. If payment is not received after that timeframe, cancellation may occur.

Refunds

Should you choose to cancel your commission and request a refund, the 20% retainer fee is non-refundable and will be withheld to cover commission communication work and the initial reservation of your commission slot. All other costs can be negotiated depending on reasoning for backing out and current progress on the commission.

  • You may choose to receive a partial refund and receive all completed parts. If you choose to be refunded the full available cost, we maintain the right to resell, modify, or do what we wish to finished and unfinished items.

If we, Oakley’s Creations, choose to cancel your commission, you will receive a full refund (including the 20%) and anything started will be finished with an alternate design and resold or otherwise disposed of.

If we, Oakley Creations, do not show any evidence of starting your project 2 years after your final payment (beyond material purchase; if not a single WIP is shown), you are entitled to a full refund (including the 20%), no matter the circumstance on our end (emergency, illness, disaster, etc.).

  • You do not have to cancel in this scenario, but the option is there for you should you be disatisfied with your wait or otherwise do not wish to wait any longer. This is to keep this business accountable from unreasonable wait times and to give clients a safe out!

Abandoned projects (No response to attempts to communicate for 30 days upon contact, the disappearance of your primary form of contact without alerting me for 30 days, or essentially “dropping off the face of the Earth”) will be refunded in full and projects will be altered and resold.

  • Please do reach out if you change your primary contact method to avoid accidental abandonment cancellations!

Cancellations of commissions are final, and no further production will be made. If you wish to apply again, you apply understanding that you will be getting a new quote, which may include an increase in price or new conditions.

There are no refunds once the project is complete.

Slot Ownership

Once you pay the 20% deposit minimum, you officially own a “slot” in the queue for a project to eventually take place with us.

  • This slot will not officially be in line to start until all payments are complete. This will mean that your slot will be moved around in order of payment completion until the moment the last payment is in, to which then an official placement is claimed and an ETA can be more easily established.

Should you need to back out, you have the right to sell your slot to another party for the same value that you have paid towards the slot— no more, no less.

Please contact us about the new owner of the slot before finalizing the sale of the slot for greenlighting purposes. Should the person you consider selling the slot to be someone who has been previously blacklisted or is someone we otherwise do not wish to work with, they will be denied service and a new buyer should be located.

Construction

Character References

Custom character commissions require a 2-3 view reference of the design you request to be made, or at least artwork of the character that meet the following criteria:

  • The full front, back, face, tongue and teeth, and underside of hands and feet as well as any distinct markings must be visible.

  • Reference art should be unshaded, otherwise a distinguishable color palette must be provided.

If you have seen elements of other maker’s work that you would like us to replicate, you may present that to us. We will consider any ideas and interpret them into our own style.

We accept character changes, should you decide to update your character design or change to a different character entirely. However, this may require an extra fee for the changes in complexity of the character, and if materials were already purchased for the previous design, you must cover the new materials as well.

  • If you make changes before material purchase, then the funds that were geared towards the original design’s materials will be funneled to the new character’s materials. You may need to cover any difference, however.

Oakley’s Creations has full discretion to deny any change do we not see it fit.

Artistic Liberty

We accept artistic liberty design requests. Artistic liberty ideas do not require any form of reference.

  • A design will be come up with based on commissioner requests, such as species, theme, or favorite color/color combo, then sent for approval, OR chosen from a pool of existing premade designs.

  • All premade or custom designs created by Oakley’s Creations have an additional fee for character rights added into the cost or quote. Therefore, the buyer automatically own the rights to the character itself should they pay in full. An exact number for this cost can be asked for, for the sake of resale.

    • These character rights are non-refundable unless a deal can be made for the character to be sold thereafter.

AI Clause

We will not accept artwork or reference material generated by any form of Artificial Intelligence as a substitute for hand-drawn artwork. All artwork submitted must be completed by an artist or be accompanied by concept work drawn or otherwise created by a human. Please consider commissioning us or another artist, or use one of the plethora of reference sheet resources available online! We will be checking for artist signatures.

  • Your design may have been generated by an AI, however the design must be interpreted by an artist for easy legibility, consistency, and for the certainty that this is the design you are happy with as shown by the time and/or monetary investment. Commissioned artwork or basic drawings from the clients will always be preferred.

    • We understand that not all clients will be artists, but the submitted reference sheets do not need to be amazing pieces of artwork. So long as they meet the criteria of what we need (as listed under the Character Reference section), of which can easily be done by anyone or commissioned from anyone, you are all set!

  • AI generated images of fursuits may be presented for inspiration, but concept sketches, examples of existing fursuit work, or other blueprint artwork will be preferred.

    • Understand that the artist(s) behind this business are human, committed to our own style. What an AI may generate may be unrealistic to replicate by hand, and it would be appreciated to not have that type of expectation on our work. If you feel you will, we are not the maker for you.

Rights to Craft

Commissioners maintain rights to the character they apply with and its design, and Oakley’s Creations maintains the intellectual rights to the fursuit craft design, patterns, and shapes used to create the client’s request (headbase shape, leg shape, all custom patterns, etc.) unless otherwise disclosed.

  • Clients do not have any right to deconstruct by means to replicate any of Oakley’s Creations products.

All finished projects will be modeled and photographed for portfolios and promotional material. Character’s appearance and name may be shared publicly in portfolios, galleries, social media and promotional material unless otherwise requested.

Materials

Should there be specific materials you would like me to use for any reason, it is your responsibility to let us know through contact. Please be sure to provide the fabric brand name, where it was bought, and any other information needed to locate the fabric. If the materials cannot be found, please bear with us as alternatives are used instead.

Duct Tape Dummy

We do ask for a duct tape dummy (DTD) to be made for fullsuit commissions to ensure the best fit, however we may still work with you with measurements only. Be advised, however, that there will be a lot of them, and this method will not guarantee the perfect fit and may result in multiple repair fees.

  • You can find a small guide I created on my FAQ page under “How do I make a DTD?”.

Oakley’s Creations is not responsible for improperly-made DTDs and poor fitting as a result. Minor sizing corrections (arms too short, tight around shoulders, etc.) can fall under warranty, however any major resizing needed will require a repair charge (see Warranty + Repairs section for details).

DTDs will be disposed of after the project is complete. A client may request to keep and have it sent back before disposal if communicated before project completion!

Process

Turn-around

Our turn-around time is currently within a year after the completion of full payment, ideally between 6-9 months.

  • Keep in mind, however, that this business is a one-person endeavor with the occasional outside help. Wait times after final payment can take more than a year under emergency or health circumstances or other outside responsibilities. Notification will be made if delays will cause an unusually long wait, and we will always remain in contact should you be concerned by lack of progress at any point.

  • My Telegram channel will be consistently updated with all recent progress, should you want to see exactly what’s happening before your commission!

    • Please, do not be afraid to reach out and ask for individual updates! We will always be available within reason!

Queue and Waitlist

At every queue opening, we try to give between 2-6 active slots in order to keep turn-around as short as possible. These slots are hand-picked and are often given to people who can pay in full upfront, preferable payment plans, or to projects that we feel most excited to work with.

  • Each queue will have all slots put into a batch on my Trello, in which projects that have completed their full payment will be completed in no particular order but within the same turnaround period. These batches may include premades, and some batches will only be premades for convention prep.

    • Once projects with payment plans complete their payments, they will be added to the nearest batch, whether that be with projects they were accepted with, projects from a newer queue opening, or to their own batch after any active projects.

Waitlist slots may be offered on occasion for projects I could not fit into any of the offered slots, yet I feel I may have time for after the completion of the accepted projects. These are not guaranteed, but if offered incur no fee until an opening is made.

Work in Progress

Multiple work in progress (WIP) photos and updates will be sent via primary means of contact once the project is started; clients will be alerted before the start of their project so they know to be vigilant. For significant milestones during the project (such as headbase completion or bodysuit markings cut and arranged), clients are expected to voice their approval or request for changes on the progress shown within 72 hours of delivery. Any delay in responding may either result in alterations of completion dates and/or inaccuracies.

All WIP photos may be posted onto social media and will be posted to our Telegram Channel unless otherwise requested by the commissioner (for instances such as surprise or secret suits). All major work on the commission will be sent to the commissioner first!

All of Oakley’s Creations work is hand-made, which may result in minor aesthetic errors and differences from previous work. We try to minimize this as much as possible, but regardless, they do not affect or reduce product quality or value.

  • This does not apply to requested specification or for quality errors, but rather to visual issues such as symmetry, cheek shaping, and hair styling.

  • All WIPs are made to be as honest about the product as possible, but may not show all visual imperfection. Commissioners are to be made aware if any aesthetic errors are noticeable and given opportunity to request repair. Please be aware of the warranty policy (further below) should these WIPs not show aesthetic errors that are present in person.

    • Failure to report aesthetic errors as needing repair before the warranty ends is the fault of the customer and will thereafter require a repair charge.

Shipping

Shipping costs will NOT be included with your quote initially, and must be covered by you, the commissioner, upon completion of your project. This allows for freedom of choice to delivery speed and flexibility around fluctuating postage rates.

  • If you are a United State resident, your commission will be weighed and boxed within the week of completion and approval. Your commission will be sent through the United States Postal Service (USPS) or United Parcel Service (UPS) with a tracking number.

  • If you are outside of the states and need international shipping, your commission will be weighed and boxed, however may not be shipped right away as a proper carrier is located and proper protections are made. Your commission will likely be sent through the United States Postal Service (USPS) with a tracking number.

Oakley’s Creations is not responsible for any shipping damages or losses. We humbly apologize should negative outcomes occur.

  • We will offer our warranty to repair damage and will consider creating the fursuit again at a discount if lost.

Convention Delivery

Should we be attending the same conventions, and if discussed ahead of time, convention pick-up is always an option! Please be sure to keep previously-mentioned deadline and rush fee policies in mind if the project is not completed before requesting convention pickup.

  • Gas and/or travel fees equivalent to or less than shipping costs may apply. If the convention we’re attending is one I am vending at, luggage fees may also apply.

Christmas Period

Between December 15th and January 5th, Oakley’s Creations will not ship out any large orders (packages worth more than $300) due to the increased risk of delays, loss, theft, and damage caused by the Christmas rush. This is a precautionary measure due to repeated reports by us as well as other makers. Please keep this in mind if you want a product delivered for Christmas!

An exception can be made if the client is willing to pay for overnight shipping and/or any insurances to protect the package. This will come at a heavily increased charge, and still does not guarantee delivery by your desired time. It will always be recommended to wait until after the holidays.

Warranty + Repairs

Oakley’s Creations offers a 3-month warranty that allows for free (covering shipping to us is your responsibility, we will pay for shipping back to you; convention pickup is acceptable) repairs and fixes on any mistakes made by us, the makers. These mistakes include—but are not limited to— inaccurate sizing, faulty seam work, bald spots, and any damage caused by the shipping company, should the costume be mishandled or damaged.

  • This warranty DOES cover premades, including offers to resize parts as needed.

  • This warranty will not cover any damages made by you, the commissioner. These mistakes include—but are not limited to—ripped parts, smashed or poked-out eyes, and severe misuse. Repairing these types of damages will cost a fee unless stated otherwise.

    • This also applies to attempts to repair the suit from its original form in a way that no longer makes it our own work. This includes glued seams or replacement eyes. This does not include attempts to hand sew holes or easily reversible repairs.

After the 3-month warranty expires or if there are any damages reported and deemed unacceptable for the warranty, repair work will cost a fee.

  • A cost will be calculated based on the type of damage and will include shipping. Reserve around $200-$400 to cover most average repairs. All payment must be covered before the product can be worked with, no exceptions!

  • Please be sure that your product is clean before it is shipped, else an extra fee for cleaning will be added. This is primarily for cleanliness reasons.

Please be patient should you apply for a warranty or a repair, as fixing suits is not our priority.

Miscellaneous

Allergies

Please keep in mind that Oakley’s Creations’s workspace is animal-friendly and may have pets come in contact with products (particularly cats).

  • Please clarify in communication if you have any allergies, and accommodations will be made to avoid any issues or to wash suits thereafter. A preference and measurements form will be sent asking you to plug your allergies in for ease of recording.

Accountability

Oakley’s Creations is not responsible for the actions of previous and current clientele, nor do we do thorough enough background checks to be knowing about all outside behavior of our clients. We will not accept clients with dangerous behavior knowingly and would appreciate notification if we do work with any such individual.

After any product has been delivered to the client, the product is the client’s property and is no longer Oakley’s Creations responsibility, nor does Oakley’s Creations have any say in what happens to said property.

  • You, as the client, may use the product for any purpose you see fit, including but not limited to NSFW or sexual activities.

    • We may not be able to add NSfW features on your suits ourselves— not including suggestive/socially indecent parts (breasts, nipples, harnesses, etc), but including sexual organs and secret zippers— but you, as the commissioner, or a 3rd party may modify your suit for your purposes. Keep in mind, however, that this may void the warranty of the part said modification is done to, depending on the type of modification.

    • Please be responsible and take care of your suit if it is used for this purpose. A cleaning guide will be provided and recommended for use, and must be followed before sending used products back for any repair work.

Harassment

Harassment and poor behavior during the commission process or towards anyone working for/associated with Oakley’s Creations will not be tolerated. Please behave in a semi-professional and/or casual friendly manner during our business dealings.

  • This also applies to harassing other clientele without reasonable cause. Notification on if past or current clientele are being harassed for any reason in relation to their commission or their business with Oakley’s Creations will be taken seriously.

  • Failure to behave responsibly may result in commission cancellation and/or blacklisting.

Oakley’s Creations maintains the right to refuse service to anyone or cancel any commission at our own discretion.

Thank you!

Please keep a record of any transactions, conversations, or emails we conduct. We will be doing the same. Thank you!
